Must Have
  • 2+ years of experience in administrative support, operations coordination, office administration, project coordination, facilities support, property management support, customer support, or similar operational roles.
  • Ability to learn new systems and follow established processes.
  • Experience maintaining spreadsheets, trackers, or operational documentation.
  • Experience managing multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Outlook, Excel, Word, and Teams.
  • Strong written and verbal communication, organization, and problem-solving skills.

Overview

The Compliance Operations Coordinator provides high-volume administrative and operational support for the Property Management team across building safety assets, including fire systems, security systems, and elevators/escalators. The role coordinates permits, inspections, Field Service Requests (FSRs), work orders, invoices, and related documentation to supports established compliance processes.
 

Success in this role requires strong organization, attention to detail, follow-through, and the ability to manage multiple priorities. Compliance expertise is not required. Training will be provided on company systems, property processes, and compliance procedures.
 

Regular in-office support is required for mail, permit documents, checks, shipping, and other document-handling activities.

Key Responsibilities

Administrative & Operations Support
- Monitor, triage, and route inboxes supporting permits, inspections, and building safety activities.
- Track permits, violation notices, false alarms, inspections, work orders, FSRs, and follow-up actions.
- Coordinate with stores, vendors, local agencies, internal partners, and offshore support teams.
- Maintain trackers and status updates, escalating questions or exceptions as needed.
 

Documentation & Record Management
- Review inspection and supporting documentation for completeness before routing.
- Maintain inspection records, FSR documentation, violation records, and related files.
- Prepare document packages and support administrative recordkeeping.
 

Work Order & Invoice Support
- Monitor work orders, aging reports, and administrative follow-up.
- Review, validate, and route invoices for processing.
 

Physical Document Support
- Sort, scan, mail, and track permits, invoices, checks, applications, violation notices, and alarm key shipments.
- Support mailing and shipping.
 

Reporting
- Maintain trackers, dashboards, checklists, and process documents.
- Coordinate routine work with offshore support teams.
- Escalate complex or time-sensitive issues as needed.
